Privacy Policy
1. Introduction
Coveru Insurance Services Inc. ("Coveru," "we," "us," or "our") is committed to protecting the privacy of the individuals who visit our website, apply to join our team, or otherwise interact with us. This Privacy Policy explains what personal information we collect, how we use and disclose it, how we safeguard it, and the choices and rights available to you. We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act ("PIPEDA") and other applicable privacy laws.
This Policy applies to personal information we collect through our website, by email, by telephone, and in person in the course of our recruiting and business activities. It does not apply to the practices of third parties we do not control, including the insurers whose products our advisors may distribute, each of which maintains its own privacy policy.
2. What we mean by "personal information"
"Personal information" means information about an identifiable individual. It does not include information that has been anonymized or aggregated so that it can no longer be associated with a specific person.
3. Personal information we collect
Depending on how you interact with us, we may collect:
- Information you give us directly — your name, email address, telephone number, the languages you speak, your current professional or licensing status, and any other information you choose to include when you complete a form, book a call, apply to join our team, or contact us.
- Information collected automatically — when you visit our website we may collect technical information such as your IP address, browser type, device information, pages viewed, and the date, time, and duration of your visit, including through cookies and similar technologies.
- Information from other sources — where permitted by law and with consent where required, we may receive information about you from referrers, business partners, service providers acting on our behalf, or publicly available sources.
We do not knowingly collect sensitive personal information (such as health or detailed financial information) through our recruiting website.
4. How we collect it
We collect personal information directly from you when you provide it, automatically through your use of our website, and, where appropriate, from the third-party sources described above. We collect only the information reasonably necessary for the purposes set out in this Policy.
5. Why we collect and use it
We use personal information for purposes that include:
- responding to your inquiries and communicating with you;
- evaluating, interviewing, and following up with candidates who apply to join our team, and administering our recruiting process;
- where you move forward as an advisor, facilitating your onboarding by sharing your information with the insurer whose products we distribute so that it can contract, license, and appoint you — your advisor contract is with that insurer, not with Coveru;
- providing, administering, and improving our services and website;
- sending you information about career opportunities, events, or updates, where you have consented or as otherwise permitted by law;
- protecting the security and integrity of our systems and preventing fraud or misuse; and
- meeting our legal, regulatory, and contractual obligations.
We will not use your personal information for a materially different purpose without your consent, unless permitted or required by law.
6. Consent
By providing personal information to us, you consent to our collection, use, and disclosure of that information as described in this Policy. You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice, by contacting us using the details in Section 13. Withdrawing consent may limit our ability to provide certain services to you.
7. How we disclose personal information
We may disclose personal information:
- to our team members who need it to carry out the purposes described in this Policy;
- to third-party service providers who perform services on our behalf — such as website hosting, email, customer-relationship-management, scheduling, and analytics providers — who are bound by contractual obligations to protect your information and use it only for the purposes we specify;
- where you apply for or purchase an insurance product, to the insurer whose product you are considering, so that your application can be processed; that insurer handles your information under its own privacy policy;
- where you apply to join our team, to the insurer whose products we distribute, for the purposes of contracting, licensing, appointment, assessment, background verification, and onboarding you as an advisor; that insurer handles your information under its own privacy policy;
- as required or permitted by law, including in response to a valid request from a court, regulator, or law-enforcement authority;
- in connection with a proposed or actual sale, merger, financing, or reorganization of our business, subject to appropriate confidentiality protections; and
- in an anonymized or aggregated form that cannot be used to identify you.
We do not sell your personal information.
8. Service providers and storage outside Canada
Some of our service providers may store or process personal information on servers located outside of Canada, including in jurisdictions whose data-protection laws may differ from those of your province. Where this occurs, your information may be subject to the laws of those jurisdictions, including lawful access by courts, law-enforcement, and regulatory authorities. We take reasonable steps to require our service providers to protect your information consistent with this Policy and applicable law.
9. Cookies and analytics
Our website may use cookies and similar technologies to operate the site, remember your preferences, and understand how the site is used so that we can improve it. You can set your browser to refuse cookies or to alert you when they are being used; however, some parts of the site may not function properly without them.
10. How we protect your information
We maintain physical, technical, and administrative safeguards appropriate to the sensitivity of the personal information in our custody or control, to protect it against loss, theft, and unauthorized access, use, or disclosure. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.
11. How long we keep it
We retain personal information only for as long as reasonably necessary to fulfill the purposes for which it was collected, or as required by applicable law. When personal information is no longer required, we take reasonable steps to securely destroy, delete, or anonymize it.
12. Your rights
Subject to applicable law, you may:
- request access to the personal information we hold about you;
- request correction of inaccurate or incomplete information;
- withdraw your consent to our use of your information;
- request deletion of your information; and
- ask us to stop contacting you.
To exercise any of these rights, contact us using the details below. We may need to verify your identity before responding. If you are not satisfied with our response, you may make a complaint to the Office of the Privacy Commissioner of Canada or the applicable provincial authority.
13. Third-party links
Our website may contain links to third-party websites we do not operate or control. This Policy does not apply to those websites, and we are not responsible for their content or privacy practices. We encourage you to review the privacy policy of any website you visit.
14. Age
Our website and services are intended for individuals who are the age of majority in their province of residence. We do not knowingly collect personal information from minors. If you believe we have collected information from a minor, please contact us so we can address it.
15. Changes to this Policy
We may update this Privacy Policy from time to time as our practices evolve or as required by law. The current version will always be posted on this page with an updated "Last updated" date. Your continued use of our website after changes are posted constitutes acceptance of the revised Policy.
